Job Summary
The main purpose of the Processing Assistant IV (PA IV) is to provide assistance to the Family Services Division at the Department of Social Services which includes Adult and Children’s Services. The employee performs a range of administrative duties and provides support to the program administrator, supervisors, and social workers within the division. The employee’s primary duties include updating information in NC FAST, preparing the monthly foster care payment report, and running a variety of monthly reports. Position works closely with internal, county, and state finance staff to prepare payment requests, obtain vendor ID’s, and reconcile monthly foster care payments. Position also acts as a liaison with community stakeholders including the schools, private placement agencies, primary care offices, and the health department. Position plays key role in notifying all parties of changes in foster care placements. Position is also responsible for assisting with client records, performing Lexis Nexis searches, maintaining the foster care database, and assists with other projects as needed.
Specific responsibilities include:
-Performing administrative duties for Family Services staff, including helping staff complete overnight/travel requisitions, entering Purchase Orders into county financial system, completing payment requests for invoices and trust fund accounts, scanning and tasking documents, assisting with mailings, and performing Lexis Nexis searches as needed.
-Updating placement information and maintaining current information in the foster care database, contacting private providers to obtain needed authorizations, entering resources and payment information into NCFAST, and preparing the monthly foster care payment report.
-Notifying all parties of children coming into foster care and of placement changes including internal Economic Services staff, the appropriate health department and fostering health staff, and the school system.
-Running monthly reports for both child welfare and adult services.
-Working with internal finance staff to track program expenditures, reconcile monthly foster care payments, troubleshoot issues, and work with state contact to resolve payment issues as they arise.
-Tracking placement and payment issues, bringing them to the appropriate parties’ attention, trouble shooting, and assisting with problem solving.
-Provide a multitude of various supports to staff as needed including but not limited to: preparing items to be mailed, making contacts with various parties, tracking down authorizations from providers, performing Lexis Nexis searches, assisting with record review or clean-up as needed, and assisting with other projects as needed.
-Acting as a notary public and accompanying staff into the field as needed.
-Sitting on various internal DSS committees as needed.

Minimum Qualifications
Graduation from high school and demonstrated possession of knowledge, skills and abilities gained through at least two years of office assistant/secretarial experience; or an equivalent combination of training and experience. Familiarity with Social Service programs & software used preferred. Spanish preferred.
