Job Description

Description of Job: The primary purpose of this position is to provide administrative support to the agency’s HR Administrator in all areas of personnel functions.  Responsibilities include tracking and updating job descriptions, posting vacancies, qualifying applications, completing background checks on new hires, orientation with new hires, maintaining personnel files, completing tracking lists on all applications, processing personnel action forms, and filing time sheets. This position will back up payroll and entering personnel information for the annual budget.  This position will be a notary public to swear in witnesses for agency hearings and notarize agency documents. This position will collect, open, and distribute in-coming agency mail, and other administrative duties as assigned.    This position will be back-up the Accounting Clerk IV for updating and maintaining the agency leave workbook, checking monthly time sheets, and entering leave in the County Software Program.  This position will back up the Director’s Administrative Assistant in functions relating to DSS Board meetings, such as recording and typing minutes, preparing and distributing monthly board packets, and contacting board members regarding meetings.  This position requires the ability to demonstrate strict confidentiality regarding all personnel matters.

This position will be directly supervised by the County Social Services Business Officer I and will receive instructions and guidance from the agency’s HR Administrator in areas of personnel functions.

Educational/Experience Requirements:
  • Graduation from high school and demonstrated possession of knowledge, skills, and abilities gained through at least three years of office assistant/secretarial experience; or
  • Completion of a two-year secretarial science or business administration program with one year of responsible experience as described above; or
  • An equivalent combination of training and experience.
