POSITION: ADMINISTRATIVE ASSITANT II
TYPE OF POSITION: PERMANENT/FULL TIME. MONDAY THROUGH FRIDAY 8:00 A.M. – 5:00 P.M.
GRADE: 67
SALARY RANGE: $36,904.00 - $39,904.00
DUTIES:
The position must have an in-depth knowledge of the agency’s financial operations in order the perform the specialized accounting functions required to maintain accounts receivable and payables, analyze financial statements and reports, ensure contract policy is adhered to and maintain a complex set of general ledger accounts.
RESPONSIBILITIES:
The Administrative Assistant must have a working knowledge of all agency programs, services, policies and procedures. This position has the responsibility of prioritizing tasks to assure all programs within the agency are supported. These responsibilities are a direct result of the functions performed by the five (5) clerical and support staff supervised. In addition, the Administrative Assistant may be required to fill in for any position within the operations unit at any given time. It is expected that the Administrative Assistant will be knowledgeable of all agency practices.
KNOWLEDGES, SKILLS AND ABILITES:
General knowledge of office management techniques; and ability to practice effective communication techniques both orally and in writing; effective supervisory practices and ability to plan and supervise the work of others, if applicable. Ability to analyze and interpret policy and procedural guidelines and to resolve problems and questions. Skill in organizing workflow and coordinating activities.
MINIMUM TRAINING AND EXPERIENCE REQUIREMENTS:
Completion of high school or equivalent and four years of progressively responsible secretarial or clerical/administrative/office management experience; or completion of a two-year secretarial science or business administration program and two years of progressively responsible secretarial or clerical/administrative, office management experience; or completion of a four-year program in a college or university preferably with major emphasis on coursework in business administration, public administration, or other related field; or an equivalent combination of training and experience.
